This Privacy Policy explains how Checkolist, operated by Giaro Apps (an individual developer based in India), collects, uses, processes, and protects personal data when you use the Checkolist mobile application and related services.

2. Information We Collect

2.1 Account & Authentication Data

We collect information required to create and manage your account, including:

• Email address (including Apple private relay email, if applicable)
• Name (if provided)
• Profile image (if uploaded)
• Authentication identifiers from Apple Sign In and Google Sign In

2.2 Checklist & App Usage Data

• Checklists and checklist items
• Checklist status (created, in progress, completed)
• Reminder schedules
• Activity metrics such as total and completed checklists

2.3 AI-Generated Content & Third-Party Processing

Checkolist provides an AI-powered checklist generation feature using third-party AI services operated by OpenAI via API access.

• User prompts are transmitted securely to OpenAI’s API for processing
• Checkolist does not permanently store raw prompts
• Generated checklist content (structured data) may be stored in the user’s account
• Users may edit or delete AI-generated content at any time

Based on OpenAI’s published API policies at the time the AI feature was implemented, data submitted via the OpenAI API is not used by OpenAI to train or improve their models. OpenAI acts as a data processor when providing these services. Users are encouraged to review OpenAI’s Privacy Policy for additional details regarding OpenAI’s data handling practices.

AI-generated content is provided for productivity assistance only and should not be considered professional, medical, legal, or financial advice.

2.4 Notifications

We collect device notification tokens and reminder schedules to send server-triggered checklist reminders and essential app-related notifications. Notifications can be disabled at any time through device or app settings.

2.5 Analytics

We currently use Firebase Analytics to understand app usage, performance, and stability. This may include anonymized or aggregated information such as device type, operating system, app version, and interaction events.

3. Legal Basis for Processing (GDPR)

For users located in the European Economic Area (EEA) or the United Kingdom, we process personal data under the following legal bases:

• Performance of a contract – account creation, checklist management, reminders
• Consent – AI-generated checklists and notifications
• Legitimate interest – app security, analytics, and service improvement

4. How We Use Your Information

• Provide authentication and account management

5. Data Storage & International Transfers

User data is stored on cloud infrastructure. Servers and databases may be located outside your country of residence. By using Checkolist, you explicitly consent to the storage and processing of your data in such locations.

6. Account Deletion

You may delete your account at any time from within the app. Upon account deletion, your personal data, checklists, reminders, and AI-generated content are deleted immediately from our systems.

7. Data Security

We use industry-standard security measures, including encryption in transit (TLS/HTTPS), access controls, and secure authentication practices. While we take reasonable steps to protect your data, no system can be guaranteed to be completely secure.

8. Children’s Privacy

Checkolist is intended for users aged 13 years and above. We do not knowingly collect personal data from children under 13.

9. Your Rights

You may access, update, or delete your personal data at any time through the app or by contacting us.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. For material changes, we will notify users via in-app notification or email. Continued use of the app after such notice constitutes acceptance of the updated policy.
